What a mobile embroidery bar costs, with the math showing.

Short version: staffed bars start around $5,000 locally, crew time runs $250 per hour, and travel beyond Orange County, Los Angeles, or San Diego adds a flat $900. Here is where each dollar goes.

Inside the baseline

The starting figure covers what it genuinely takes to put a working embroidery bar in your room: two commercial machines and their backups, a crew of two for a standard event day, load-in and pack-out labor, the thread wall, hoops and cap frames, the finishing table, and a monogram menu that needs no art prep. It is a staffed production service, priced like one — not a machine rental with a hopeful instruction sheet.

The lines added on top

Garments. Blanks are priced per piece — Richardson 112 caps, robes, Independent fleece, and totes each land differently, and quantity breaks apply. Supplying your own garments works too; we verify hooping compatibility first so nothing gets ruined on site.

Digitizing. A logo converts to a stitch file once, before the event, and you approve a photo of the actual sew-out. Simple marks are quick; fine text and gradients take longer and cost more. Monogram-only menus skip this line entirely.

Hours. The $250 hourly rate counts the whole crew day. When your reception runs three hours, the crew day is closer to six once setup and strike are counted — quotes state this plainly so the invoice never surprises.

Travel. Free within OC, LA, and San Diego. Las Vegas is a flat $900. Farther afield, we quote crew travel and equipment freight as visible line items.

Making the number smaller

Three honest levers: trim the garment menu (fewer SKUs, better quantity pricing), shorten the live window and pre-stitch part of the order at our shop, or swap the second machine for a patch lane at high-volume events. What we will not do is quietly cut crew — an understaffed bar is how lines die.
